The before
NEX Car & Truck Rentals ran insurance replacement work on paper agreements and three spreadsheets. Intakes took half an hour, authorizations and extensions lived in someone's inbox, and invoices were assembled by hand the day a car came back.
The shift
Every rental now runs through one intake flow: license scan, vehicle assignment, e-signed agreement, and a timestamped walk-around in a single screen. Authorizations and extensions are tracked against the agreement, so the billable period always matches what the insurer approved.
The result
Intake dropped from 30 minutes to 3. Invoices reconcile exactly to the contract dates and day counts, which is the single biggest reason insurer queries — and short payments — disappeared. Per-vehicle expenses turned the fleet from a single blob into a per-car profit view.
